AI Receptionist for Law Firms: Never Miss a New Client Call

A lawyer in a meeting cannot pick up a new client call. Here is how an AI receptionist handles intake, books consultations, and what it costs next to a legal assistant.

AI Receptionist for Law Firms: Never Miss a New Client Call

The new client calls once

A lawyer is in a meeting, in court, or on a call with a client. The phone rings and nobody picks up. The person calling has a problem and wants it handled now.

They do not leave a long voicemail. They call the next firm on the list. For a small practice, that call may have been your next good case.

What a law firm call looks like

Most first calls follow the same pattern. The caller says what kind of matter it is, gives a name and number, and asks if you can help and when they can talk to someone. Others ask about fees, hours or where you are.

That is intake, and it is repetitive. An AI receptionist can collect the basics and book the consultation. It should not give legal advice, and Sophia does not. She answers from what you tell her about your practice areas, hours and policies.

How Sophia handles intake and booking

Sophia answers the call, finds out what the caller needs, and checks your real calendar. She offers open consultation slots, books the one the caller picks, and confirms it before the call ends.

After every conversation she sends you an email summary. You see who called, what they asked about and when they are booked. Calls she could not answer are flagged so you can follow up.

The Pro plan adds full booking with staff, calendar and reminders. The Multi plan adds per-staff calendars and multiple locations, which suits a firm with several lawyers or a second office.

After hours and in more than one language

People often call about legal trouble in the evening or at the weekend, when the office is closed. Those calls are easy wins. You were never going to answer them, so every booking Sophia makes is one you would have lost.

Dutch and English come on every plan. Arabic is on Pro and above. Callers who can describe their situation in their own language are more likely to stay on the line and book.

What it costs compared to a legal assistant

A full-time receptionist in the Netherlands costs roughly 2,500 to 3,500 euros a month once you add employer taxes, holiday pay and pension. That is one person, in office hours.

CallSophia plans are Solo at $149 a month, Pro at $299 and Multi at $599. Solo includes 500 voice minutes, about 140 calls. Pro includes 1,000 minutes, about 285 calls, and your own phone number so Sophia answers the line itself. Setup is a one-time $199, or free on annual billing. Extra minutes run on prepaid credit at $0.25 per minute.

Common questions

Does the AI receptionist give legal advice?

No. Sophia answers questions about your hours, practice areas and policies from what you tell her, and books consultations. Legal advice stays with your lawyers.

Can it book consultations with a specific lawyer?

Yes. On the Pro and Multi plans Sophia books against staff calendars, so a request for a named lawyer goes into that lawyer's open slots.

Does it answer calls outside office hours?

Yes. Sophia answers around the clock, including evenings and weekends, and books the consultation on the spot.

Which plan does a small law firm need?

If you want Sophia to answer your own phone number, choose Pro. A solo lawyer with fewer calls can start on Solo and use WhatsApp and the website widget.

Stop losing calls to the next name on the list.

Sophia answers every call and books the appointment, in Dutch, English and Arabic.
